Spa Etiquette
At Open Arms Wellness Center, our goal is to provide a peaceful, welcoming experience from the moment you arrive. Our policies are in place to protect that experience for our clients and our therapists while allowing us to provide the highest level of care.
By scheduling an appointment, you acknowledge and agree to the policies below.
Appointments & Reservations
Appointments are recommended in advance, as availability can vary by therapist and service. A credit card is required to reserve your appointment. Gift certificates may also be used to guarantee a reservation.
Your card will not be charged at the time of booking. It is kept securely on file and may only be charged when a cancellation or no-show falls within our cancellation policy.
If you have any allergies, sensitivities, injuries, health concerns, or other information your therapist should be aware of, please let our front desk know when booking your appointment.
We encourage you to arrive a few minutes early so you have time to check in, settle in, and begin your service without feeling rushed.
Cancellation & No-Show Policy
Your appointment time is reserved specifically for you. When an appointment is cancelled at the last minute or missed entirely, that time cannot always be offered to another client.
We require at least 24 hours' notice for cancellations or appointment changes.

Cancellations or rescheduling within 24 hours: A $25 late cancellation fee will be charged to the card on file.

No-shows: Missing an appointment without notice will result in a charge of 50% of the scheduled service.

Appointments cancelled or rescheduled with at least 24 hours' notice: No cancellation fee will apply.
If you are running late, please contact us as soon as possible. Arriving late may shorten your service time so that we can stay on schedule for the next client. The full service price will still apply.
We understand that unexpected situations happen. If you have an emergency or unusual circumstance, please contact us directly and we will do our best to work with you.
Arrival & Late Appointments
We recommend arriving 5–10 minutes before your appointment. New clients may want to arrive a little earlier to allow time for any necessary paperwork.
If you arrive late, your service may need to be shortened to avoid affecting the appointments that follow. Your scheduled service will still be charged at the full price.
If you are going to be late, please call the wellness center so we know to expect you.
Cell Phones & Quiet Environment
Open Arms is a place to slow down and disconnect. We ask that you silence your phone or keep it on vibrate while you are here and keep conversations at a low volume throughout the wellness center.
If you need to take a phone call during your visit, please step into the reception area when possible so other guests can continue to enjoy a quiet environment.
Please keep in mind that phone use during a service may reduce the amount of time available for your treatment.
Services & Pricing
Service availability, therapists, treatment options, and pricing are subject to change.
Some specialty services are available only with select therapists. Our front desk team can help you find the right therapist and service based on your needs.

Gift Certificates
Open Arms gift certificates are available in any amount and may be purchased in person or by phone at 419-720-8604.
Gift certificates are non-refundable and cannot be redeemed for cash. Lost, misplaced, or stolen gift certificates cannot be replaced unless we are able to verify the original purchase.
Please mention that you are using a gift certificate when scheduling your appointment.
Gift certificates may be subject to the same cancellation and no-show policies as other appointments.
Packages
Packages, service bundles, and prepaid treatments are non-refundable.
If you are unable to use a purchased package or series, please contact us to discuss available options. Where applicable, unused value may be exchanged for Open Arms credit or another service of equal value.
Package and series terms may vary depending on the promotion or service purchased.
Memberships
Open Arms Wellness Memberships are month-to-month and do not require a contract. Memberships may be paused or cancelled at any time.
Membership benefits, including monthly service credits and discounts, are subject to the current membership terms.
Membership credits may be used toward eligible services. Specialty services and certain treatments may require an additional balance.
If a membership is cancelled or becomes inactive, unused credits may be applied as a dollar-value credit toward eligible services based on the value originally purchased.
Memberships may be paused for up to three months before being reevaluated.

Promotions & Specials
Promotions and special offers are valid only for the dates and terms specified with each promotion.
Unless otherwise stated, specials cannot be combined with other discounts, promotions, membership benefits, or third-party gift certificates.
Additional restrictions may apply to specific promotions.
Personal Belongings
Please leave valuable jewelry and unnecessary personal belongings at home whenever possible.
Open Arms Wellness Center is not responsible for lost, stolen, or misplaced personal items.
Gratuity
Gratuity is not included in the price of services unless specifically stated.
Gratuity is completely optional and is always at the client's discretion. If you choose to leave a gratuity, it may be added at checkout or given directly to your therapist.
Product Returns
We want you to feel confident in the products you purchase from Open Arms.
If you purchase a product for home use and find that it is defective, please contact us within 7 days of purchase. A receipt may be required for an exchange.
Products that have been opened or used may not be eligible for return or exchange unless the product is determined to be defective.
Client Comfort & Safety
Your comfort and safety are important to us. Please communicate openly with your therapist throughout your service. Let them know if pressure, temperature, positioning, products, or any other part of your treatment is uncomfortable.
Please inform us of any relevant allergies, sensitivities, injuries, recent procedures, or other concerns that may affect your service before treatment begins.
Our therapists reserve the right to modify or discontinue a service when necessary for a client's safety or well-being.
Respect for Our Team
We are committed to providing a professional, welcoming environment for everyone.
We ask that all clients treat our therapists and staff with courtesy and respect. Open Arms reserves the right to refuse or discontinue service in situations involving inappropriate, abusive, threatening, or disrespectful behavior.
Our therapists are licensed professionals providing therapeutic and wellness services. Sexual or inappropriate behavior toward any member of our team will not be tolerated.

Unfortunately we cannot provide cash refunds for returned products, services or gift certificates. Instead a Wellness Center credit will be provided for any returned products to be used on any other products or spa services available here at Open Arms Wellness Center.
